COURSE DESCRIPTION: This session explores all critical techniques needed to manage a database in MS-Excel. Learn all about validating data, creating data entry forms, sorting, adding subtotals, filtering, and when to use Excel’s advanced filter. You’ll also learn about Excel’s powerful new Tables feature as well as how to avoid poor database design and to correct improperly stored data.
Some people hear the word “database” and assume that you must use MS-Access, a program most non-technical people wouldn’t be comfortable learning. But Excel can perform database functions as well, and it’s relatively easy to use. It’s not designed to handle relational file structures and has some size limitations. But it has the power and capability to handle large "flat file" type data collections. Most people are already using excel as a database and may not even realize it.
This session focuses on the many powerful and easy-to-use database commands and methods critical to anyone who maintains an Excel database.
- Get rid of extra spaces that prevent matching and sorting
- Use multi-key sorts from the toolbar
- Sort by re-arranging the left-right order of columns
- Use grouping to better analyze your data
- Insert multi-level automatic subtotals for quick displays of summary totals
- Filtering techniques: view just the data you need to see – and quickly
- Validation - how to keep out bad data – before it even gets into your database
- Restrict cell content by value, formula or date
- Provide pick lists for even faster entry and greatly enhanced accuracy
- Eliminate duplicate records from your database in no time at all
- Split improperly grouped data into multiple columns – i.e. City, State, Zip
